Vinci Advisory is a trading name of Ai Guy Business Solutions Pty Ltd, ABN 21 675 514 351, of 1/3 Jodie Street, Tugun, Gold Coast QLD 4224.
We train business teams to use AI safely. It would be poor form to be careless with your information while doing it. This policy sets out what we collect, why, where it is kept, who can see it, and what you can ask us to do about it. It is written to be read, not to be skipped.

1. What we collect
Information you give us directly
- Your name, email address, business name and role, when you complete a form on this website, book a call with us, or contact us.
- Anything you choose to tell us in an enquiry, a discovery call or during an engagement.
Information we collect during an engagement
- Recordings and transcripts of online meetings. You are notified at the start of every recorded call, and you can ask us to stop recording at any point.
- Information about your business systems, processes and workflows that you show or send us so that we can plan and deliver your training.
Information collected automatically on this website
- Standard website analytics: pages viewed, approximate location, device and browser type, and how you arrived at the site. This is aggregated and is not used to identify you personally.
What we do not collect
- We do not ask for, and do not want, your customers' personal information, your employees' personal files, your financial account credentials, or health or other sensitive information. If you are about to send us something like that, stop and speak to us first so we can find a safer way.
2. Why we collect it
We use your information to:
- respond to your enquiry and arrange a call
- understand your business well enough to plan training that is actually useful to you
- deliver the engagement and follow up afterwards
- issue invoices and keep the business records we are required by law to keep
- send you our newsletter, if you have asked for it
We do not sell your information to anyone. We do not use client meeting recordings, client documents or anything you tell us during an engagement for our own marketing. If we ever want to write about working with you, we will ask you first, in writing, and you can say no without it affecting anything.
3. Where your information is stored
Meeting recordings and transcripts are held on secure, login-protected cloud platforms operated by Fathom and Otter. Contact details and correspondence are held in our internal business systems, all of which are password protected with multi-factor authentication enabled.
We do not keep client information on unsecured local storage, personal devices without protection, or shared drives outside our control.
4. Overseas storage
Several of the platforms we rely on are operated by companies based in the United States, and your information may be stored or processed there. These are:

We tell you this rather than bury it, because you are entitled to know. If your business has a policy against information being held offshore, tell us before we begin and we will agree a different way of working, including not recording calls at all.
5. Who can access it
Access is limited to Toby Carroll and our operations manager. Nobody else in or outside the business has access to client recordings, transcripts or documents.
We do not disclose your information to third parties, except:
- to the platforms listed above, which hold it on our behalf and are bound by their own terms
- to our accountant, for invoicing and tax records
- where we are required to by law
6. How long we keep it
Meeting recordings and transcripts are retained on an ongoing basis and used internally to improve how we teach. They are not shared outside the business.
Contact details are kept while you are a client or an active enquiry, and for seven years after the last engagement, which is how long Australian tax law requires us to keep business records.
You can ask us to delete your recording, your transcript or your contact details at any time. Email toby@ai-guy.co. We will do it and confirm in writing, other than records we are legally required to retain.
7. Confidentiality and non-disclosure agreements
We are happy to sign a non-disclosure agreement. Ask before we start and we will sign yours, or provide ours.
Everything you show us during an engagement is treated as confidential whether or not an NDA is in place.
8. How we use AI
We are an AI training company, so it is fair that you know exactly how we use it ourselves.
- We use Claude internally to help prepare engagement plans and workshop materials. A human reviews everything before it reaches you.
- We use paid business plans, under which your information is not used to train the underlying AI models.
- We do not feed client documents or recordings into any AI tool that trains on the input.
- We do not let AI make decisions about you. It helps us prepare; the judgement is ours.
If you would prefer we did not use AI at all in preparing your engagement, tell us and we will not.
9. Cookies and website analytics
This website uses cookies to make the site work and to understand how it is used. You can block or delete cookies in your browser settings. Some parts of the site may not work properly if you do.
We do not use cookies to build advertising profiles or to track you across other websites.
10. Keeping it secure
We protect your information with password protection and multi-factor authentication on every system that holds it, access limited to two people, encrypted transmission, and platforms chosen partly for their security posture.
No system is perfect. If a data breach ever occurred that was likely to cause you serious harm, we would tell you and the Office of the Australian Information Commissioner promptly, as required under the Notifiable Data Breaches scheme.
11. Your rights
You can:
- Ask what we hold about you. Email us and we will tell you, normally within 30 days, at no charge.
- Ask us to correct it if it is wrong or out of date.
- Ask us to delete it. See section 6.
- Withdraw consent to marketing at any time. Every newsletter has an unsubscribe link.
- Ask us not to record a call, before or during it.

12. Complaints
If you think we have mishandled your information, email toby@ai-guy.co with the subject line "Privacy complaint". We will acknowledge within five business days and give you a substantive response within 30 days.
If you are not satisfied with how we handle it, you can complain to the Office of the Australian Information Commissioner:

13. Changes to this policy
If we change this policy we will update the date at the top. If the change is significant and affects existing clients, we will email you rather than expect you to notice.
